A portal that gets new vending clients set up without the usual back-and-forth

When a company signs up for refurbished machines and remote stock telemetry, the first weeks decide how smoothly the whole contract runs. We built a small onboarding portal to replace the email chains and spreadsheets that used to slow things down.

The problem

New clients had to send machine locations, access instructions, and preferred snack lists through email. Details got lost, site visits were delayed, and the telemetry setup waited on paperwork that sat in inboxes.

The result was a slow start: machines installed but not fully configured, and clients unsure when their stock reports would go live.

What we built

A simple web form that walks the client through each step: site address, machine placement, access hours, contact person, and payment method preferences. Every entry lands directly in our service queue.

The portal also shows the status of each machine — awaiting install, cooling tested, telemetry connected — so the client always knows where things stand.

How it works in practice

Once a contract is signed, the client receives a link to their portal. They fill in the details once, and our technicians get a clear work order instead of a vague email. If a site has multiple machines, the client can list each one with its own location and snack selection.

The portal feeds directly into the same telemetry platform we use for stock monitoring, so the transition from onboarding to daily operation is seamless.
